Exhibit at PMEXPO
Date and Location Thursday, April 17, 2008, 10:00am-4:00pm Booth Dimensions All booths are 10 feet wide by 10 feet deep. A sign (7 inches high by 44 inches) is attached to each booth identifying the exhibitor's name, city/state and booth number. More than 300 booths are available. Carpeting All booth spaces and the entire concourse are carpeted. Booth Furnishings Exhibitors receive materials describing furnishings that can be rented from the PMEXPO decorating contractor - Brede Washington. These include draped tables, chairs and other booth furnishings. Alternatively, exhibitors can bring their own or rent them from another source. Electricity, Lights, Water, Phone Exhibitors will be able to rent T-1 internet access, electrical hook ups and special lighting provided orders are made twoweeks prior to PMEXPO. PMA cannot guarantee orders made after that date will filled in a timely manner or at all. Food There will be food and beverage service available all day. Move-In Move-in will take place April 16, from approximately 10am-5pm. Exhibitors will move-in at pre-determined times through the garage door entrance at the back of the complex. Exhibitors are allowed to hand-carry exhibit and materials to and from their booths provided that they use devices that will not damage the floor. Hand trucks, dollies, etc. must have rubber tires or equivalent. Exhibitors that do not have the property equipment will be required to retain the services of Brede Washington to move their materials to and from their booths or another contractor with similar equipment. Move-Out Breakdown begins after 4:00pm show day and must be completed by 9:00pm. Orientation Session An exhibitor's orientation will be held at the Complex in early February. PMEXPO, Prince George's County Sports & Learning Complex and Brede Exposition staff will be on hand to answer questions. Exhibitors will be able to tour the show site and visit booth locations. Exhibitors are strongly encouraged to attend. Newsletters A series of PMEXPO exhibitor newsletters and advisories will be mailed or e-mailed to exhibitors, providing updated information about the show, including booth design and exhibit tips. Attendance Restrictions Whether or not accompanied by an adult, children who are less than 16 years of age may not attend PMEXPO. Persons representing firms that provide products and or services used in the management of real property may not attend unless they are associated with an exhibitor. Advertising A limited amount of display advertising is available in the official PMEXPO Show Program. Booth Reservations A who's who of property management professionals makes an annual pilgrimage to PMEXPO. PMEXPO staff is happy to provide information by phone (301-657-9200), but reservations can only be confirmed when payment is received. Payment can be made by check or credit card. Booth space is available on a first-come, first-served basis. Free Passes Exhibitors and sponsoring groups receive free passes to distribute to clients, customers prospects and others involved in property management. Property management professionals who reserve in advance can tour the concourse at no charge. Representatives of firms that provide products and services for property management may not attend unless they are exhibiting. Material Distribution Only exhibitors may distribute materials inside or outside Prince George's Sports and Learning Complex. Any party other than exhibitors distributing materials will be asked to leave the premises. Parking Free parking is available for everyone all day. Attendance Lists To aid in follow-up efforts, a show attendees list is e-mailed to exhibitors who complete a brief questionnaire and submit it to the PMEXPO office after the show. The list also is available on diskette for a small charge. To help exhibitors will pre-show promotion, the list of preregistered attendees will be available upon receipt of booth payment. Booth Awards Judges will again evaluate all displays and select winners based on appearance, originality, and effectiveness of the exhibitor to communicate a clearly articulated message. Cancellations A 75% refund will be issued when a cancellation notice is made in writing by March 17, 2007. After that date, PMEXPO will not issue refunds. Restrictions Two companies may share a booth, but only when the booth sharing is made known at the time the booth is reserved and paid for. An exhibitor may not "time share" a booth, nor may a marketing or sales representative, agent, etc., sublet a booth to anyone. A Virtual PMEXPO When your booth is paid in full, the name of your company, representative and products and services offered will be listed on PMA's web site, www.pma-dc.org. PMEXPO Exhibitor Rules and Regulations Exhibitor agrees to abide by the rules and regulations imposed by the Property Management Association, The Prince George's Sports and Learning Complex and their agents. Exhibitor agrees not to violate any law, ordinance, rule or regulation of any governmental authority including any environmental law, rule or regulation. Exhibitor agrees not injure, mar or deface Prince George's Sports and Learning Complex or any equipment provided by Prince George's Sports and Learning Complex, Brede Washington, the Property Management Association and their agents. Exhibitors are not permitted to paste, nail, tape or otherwise attach self-adhesive stickers, badges, signs or any other article to walls, floors, ceilings, columns, partitions or trim of the exterior or interior of Prince George's Sports and Learning Complex or any equipment furnished or owned by Prince George's Sports and Learning Complex. Signs may only be hung or placed in an exhibitor's designated exhibit area. Exhibitor agrees to be liable for the cost of any damage or injury exhibitor, its employees and/or agents may cause to Prince George's Sports and Learning Complex and/or equipment owned by Prince George's Sports and Learning Complex. Exhibitors agree that all materials associated with their display and company will be kept within the confines of the display area they purchase. Furthermore, exhibitor agrees that the sides of their exhibit will be no higher than three feet and the back of the exhibit will be no higher than eight feet, unless special permission for a larger display is provided in writing by PMEXPO show management. Exhibitor agrees to indemnify and hold harmless the Property Management Association and its agents for any liability, damage or injury, loss of income, including cost of defense and legal fees caused by the exhibitor, its employees and agents. Exhibitor further agrees to indemnify and hold harmless the Property Management Association for interruptions, delays, postponements and the potential rescheduling of PMEXPO caused by Acts of God and other occurrences that are within and beyond the control of the Property Management Association and its agents. Exhibit space will only be confirmed upon receipt of payment in full. Refunds will be provided if cancellation is made in writing by March 17, 2008, less a 25% cancellation fee. Exhibitor agrees to remove all materials from Prince George's Sports and Learning Complex by 10:00PM, Thursday, April 17. In the event materials remain after that time, they will be stored at the exhibitor's sole expense and risk. Exhibitor is solely responsible for paying fees imposed by ASCAP, BMI or similar licensing group for use of copyrighted materials. Exhibitor agrees to be fully responsible for any copyright and/or trademark infringement and to obtain permission from and pay licensing fees to ASCAP, BMI or other similar licensing groups for use of copyrighted and/or trademarked materials that may be performed or used by the exhibitor. Exhibitor agrees to indemnify and hold harmless the Property Management Association and its agents from any claims, losses or expenses associated with copyright and/or trademark infringement. If requested, exhibitor agrees to provide the Property Management Association or its agents with written documentation that appropriate copyright and/or trademark provisions and statutes have been met. |
