Job Description:

The Assistant Manager acts as liaison between management, tenants and vendors, assists the Manager in all aspects of property management and operations, and carries out specific duties in a timely and cost-effective manner. This position does not have supervisor responsibilities.

Job Responsibilities:

Primary Responsibilities*

General Administration

  • Help cultivate a high level of professionalism, customer service, attention to detail and pride of work in all staff
  • Assist in the development of a high quality on-site team through implementation of effective training and guidance
  • Keep a daily accounting of leasing traffic
  • Assist the Manager and Property Manager in addressing resident and vendor concerns
  • Assist in implementation of all policies and procedures as authorized in the Company policy and procedures manuals. Ensure compliance as necessary
  • Assist with ensuring that all physical aspects of the property are fully functional, safe, and attractive

Lease Administration

  • Provide tours of vacant units and answer leasing questions from prospective residents
  • Review, process and approve or deny applications
  • Review prepared leases and move-in packages to ensure that all necessary paperwork is properly executed
  • Sign lease packages
  • Perform pre and post move out inspections
  • Schedule contractors and vendors to prepare vacant apartments for move in and monitor all work in progress
  • Inspect apartments to ensure they are move-in ready two days prior to move in
  • Prepare the top section of the RFT form (i.e. name/move out apt. address/forwarding address) and submit to bookkeeper or manager on move out date
  • Perform bookkeeping duties as required
  • Manage the lease renewal process
  • Maintain management of parking spaces and prepare parking leases

Building Inspection

  • Inspect all properties upon request by residents and management

Vendor Management

  • Treat vendors with fairness, courtesy and respect
  • Utilize only company-authorized vendors
  • Ensure vendors' performance is effective, efficient and safe
  • Perform cost analysis and comparison when required

Tenant Relations

  • Treat residents with fairness, courtesy and respect
  • Respond to residents' concerns
  • Address noise complaints from residents in writing
  • Prepare resident correspondence
  • Encourage resident retention
  • All ad hoc other duties as assigned

Education and Experience

  • Previous experience in residential property management responsibility strongly preferred
  • College degree is preferred
  • Proficiency with Microsoft Office Suite including Word, Excel, and Outlook
  • Must possess professional written and verbal communication skills
  • Comprehensive knowledge and understanding of multifamily operations with the ability to detect issues of concern, and act to effectively problem solve
